1. Introduction

At Maintenix (“we”, “us”, “our”), operated by Apploom Technologies LLC, we are committed to protecting the privacy of our customers and their residents.

This Privacy Policy explains how we collect, use and protect information when you use:

  • The Maintenix web portal, and

  • The Maintenix mobile apps for tenants, technicians and supervisors

(collectively, the “Service”).

By using Maintenix, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

2. Information we collect

We collect information in order to operate the platform, support your buildings and improve the Service.

A. Account & profile information

Depending on your role (developer, property manager, supervisor, technician, tenant), we may collect:

  • Name and contact details (such as email address and phone number)

  • Building and unit information (building name, unit number, role)

  • Company / developer name and position

  • Login details (such as hashed passwords or authentication tokens)

B. Maintenance & usage data

To power Maintenix’s core features we process:

  • Maintenance requests: category, description, preferred time, building and unit, priority, photos and attachments you upload

  • Scheduling data: assigned technician, date and time, visit status, time confirmations and notes

  • Inventory & cost data: spare parts used, quantities, prices, approvals and related cost information

  • In-app communication: chat messages, status updates and comments between tenants, technicians and supervisors

  • Portal and app usage: pages or screens visited, actions taken, timestamps and basic analytics

C. Device and technical information

When you access Maintenix, we may automatically collect:

  • Device type, operating system and app version

  • Browser type and language (for web)

  • IP address and approximate region

  • Log information such as access times, technical errors and performance data

D. Cookies and similar technologies

On the marketing website and web portal we may use cookies or similar technologies to:

  • Keep you logged in

  • Remember your preferences

  • Measure usage and performance

You can control cookies through your browser settings, but some features may not function correctly if cookies are disabled.

3. How we use your information

We use the information we collect to:

A. Provide and operate the Service

  • Create and manage user accounts and roles

  • Record and track maintenance requests from creation to completion

  • Assign and schedule technicians and log their activity

  • Power supervisor and owner dashboards, reports and exports

  • Provide customer support and respond to enquiries

B. Improve and secure Maintenix

  • Monitor performance and fix bugs

  • Develop new features and integrations

  • Detect and prevent fraud, abuse and unauthorised access

  • Enforce our Terms & Conditions

C. Communicate with you

  • Send service notifications such as confirmations, reminders and status updates

  • Send product announcements, tips or offers (you can opt out of marketing emails at any time)

  • Respond to questions or support requests

4. How we share your information

We do not sell your personal information. We may share it in the following situations:

A. With service providers

We may share information with trusted third-party providers who help us:

  • Host and maintain our infrastructure and databases

  • Deliver emails and push notifications

  • Provide analytics and monitoring

  • Process support requests and communications

These providers may only use the data as necessary to perform services on our behalf and are required to protect it.

B. With your organisation

For white-label or enterprise deployments, information about tenants, technicians, supervisors and buildings is shared with the relevant developer, owner or property management company who controls that Maintenix account. They may have their own privacy notices and responsibilities as data controller.

C. For legal and safety reasons

We may disclose information if we believe it is reasonably necessary to:

  • Comply with applicable laws, regulations or legal processes

  • Respond to lawful requests from public or government authorities

  • Protect the rights, property or safety of users, residents, our company or others

  • Investigate and prevent fraud or security issues

D. Business transfers

If Apploom Technologies LLC is involved in a merger, acquisition, financing or sale of all or a portion of its assets, your information may be transferred as part of that transaction, subject to the same or equivalent privacy protections.

5. Data security

We use appropriate technical and organisational measures to protect your information, including encrypted connections, access controls and regular monitoring.

However, no method of transmission or electronic storage is completely secure. While we work to protect your data, we cannot guarantee absolute security.

6. Data retention

We retain information for as long as necessary to:

  • Provide the Service to our customers,

  • Comply with legal, tax and accounting obligations, and

  • Resolve disputes and enforce our agreements.

Where possible, we anonymise or aggregate data so it no longer identifies individuals.

7. Your rights and choices

Depending on your jurisdiction, you may have the right to:

  • Access and update your personal information

  • Request a copy of your data in a portable format

  • Request correction or deletion of your information, subject to legal obligations

  • Object to or restrict certain processing activities

  • Opt out of marketing communications at any time

For some requests we may ask you to contact your building management, employer or service provider (for white-label deployments), because they control the Maintenix environment for your building.

8. Children’s privacy

Maintenix is intended for professional use by developers, property managers, technicians and adult residents. It is not directed at children under the age of 13. We do not knowingly collect personal data from children. If we become aware that we have collected information from a child, we will take steps to delete it.

9. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will update the Effective Date above and, where appropriate, notify you through the app, portal or email.

Your continued use of the Service after changes take effect means you accept the updated policy.
